Cancellation & Modifications Policy

Important Notice: This policy covers both subscription cancellations for the Travel Navigator SaaS platform and cancellation policies for travel bookings managed through the platform.
1. Subscription Cancellation Policy
1.1 Monthly Subscriptions
- You may cancel your monthly subscription at any time from your account dashboard
- Cancellation will take effect at the end of your current billing cycle
- You will retain full access to all features until the end of your paid period
- No refunds are provided for partial months of service
- Your data will be retained for 90 days after cancellation, allowing you to reactivate your account
1.2 Annual Subscriptions
- Annual subscriptions can be cancelled within the first 30 days for a prorated refund
- After 30 days, cancellations will take effect at the end of the annual term
- No partial refunds are provided after the initial 30-day period
- You may downgrade to a lower-tier plan, which will take effect at your next renewal date
1.3 Free Tier
- The free tier has no cancellation requirements
- You may stop using the service at any time
- Your data will be retained for 180 days of inactivity before permanent deletion
2. Plan Modifications & Upgrades
2.1 Upgrading Your Plan
- Upgrades take effect immediately upon payment confirmation
- You will be charged a prorated amount for the remainder of your current billing cycle
- All upgraded features and limits become available instantly
- Your next billing date remains unchanged
2.2 Downgrading Your Plan
- Downgrades take effect at the end of your current billing cycle
- No refunds are provided for the difference in plan pricing
- You will retain access to higher-tier features until the downgrade date
- If your current usage exceeds the new plan limits, you will be notified to reduce usage before the downgrade
3. Travel Booking Cancellations (For End Travelers)
These policies apply to bookings made through agencies using Travel Navigator:
3.1 General Cancellation Terms
- Cancellation policies are set by individual travel agencies using our platform
- Each itinerary and invoice will clearly state the applicable cancellation terms
- Cancellation requests must be submitted directly to the agency that created your booking
- Travel Navigator facilitates the booking process but is not responsible for agency-specific cancellation terms
3.2 Typical Industry Standards (Agency Guidelines)
Standard Cancellation Timeline:
- 45+ days before departure: 10-25% cancellation fee
- 30-44 days before departure: 25-50% cancellation fee
- 15-29 days before departure: 50-75% cancellation fee
- Less than 15 days: 75-100% cancellation fee (no refund)
Note: These are industry guidelines. Your specific agency may have different terms.
4. Modification Policies
4.1 Subscription Modifications
- You can modify your billing information, company details, and user permissions at any time
- Logo, branding, and white-label settings can be updated instantly
- Payment method changes take effect on your next billing date
4.2 Travel Booking Modifications
- Date changes, passenger name corrections, and itinerary modifications are subject to agency policies
- Modification fees typically range from ₹500-₹5,000 depending on the complexity
- Major changes (destination, duration, hotel category) may be treated as cancellations + new bookings
- Contact your travel agency directly for modification requests
5. Account Suspension & Termination
5.1 Voluntary Account Closure
- You may request permanent account deletion at any time
- All your data will be permanently deleted within 30 days of the request
- This action is irreversible and we cannot recover your data after deletion
- You must export all necessary data before requesting account closure
5.2 Involuntary Termination
We reserve the right to suspend or terminate accounts that:
- Violate our Terms of Service
- Engage in fraudulent activity or payment disputes
- Use the platform for illegal purposes
- Remain inactive for over 365 days (free tier accounts)
6. Data Retention After Cancellation
- Active Subscribers: Data retained indefinitely while subscription is active
- Recently Cancelled: 90-day grace period for potential reactivation
- Free Tier Inactive: 180-day retention before automatic deletion
- Voluntary Deletion: 30-day permanent deletion window
7. How to Cancel or Modify
7.1 Self-Service Cancellation
- Log in to your Travel Navigator account
- Navigate to Settings → Subscription
- Click "Manage Subscription" or "Cancel Plan"
- Follow the on-screen confirmation steps
- You will receive an email confirmation
7.2 Assisted Cancellation

8. Exceptions & Special Cases
- Technical Issues: If platform downtime exceeds 72 hours, prorated credits will be applied
- Force Majeure: Natural disasters, government restrictions, or pandemics affecting travel bookings may have relaxed cancellation terms (subject to agency discretion)
- Billing Errors: We will refund any confirmed billing mistakes within 7 business days
